Job Overview:
We are seeking a detail-oriented and organized Medical Records Coordinator / Purchasing Specialist to join our team. This role is responsible for managing and maintaining clinical records in accordance with established policies and legal requirements, as well as overseeing agency purchasing activities.
Schedule:
- Monday thru Friday 9am to 5pm

Responsibilities
- Respond to requests for information from files, including subpoenas, court orders, and disability requests.
- Select, pull, and process files for annual purging, maintaining the destruction log.
- Maintain oversight and organization of closed charts.
- Coordinate the scanning of closed charts and ensure all clinical records are securely locked.
- Train and support staff on medical records procedures and documentation.
- Handle inquiries from clinical staff regarding medical records.
- Monitor and follow up on medical records concerns.
- Process outgoing releases and ensure proper distribution of incoming documentation to appropriate charts or programs.
- Work within an EHR system to manage and retrieve clinical documentation.
- Support and manage agency purchasing activities.
- Assist with other departmental functions as needed.
Qualifications
- High School diploma or equivalent
- Bachelor’s degree in a human services-related field is a plus
- Experience in medical records, purchasing, or clinical settings is a plus.
- Proficiency in computer use and strong organizational skills are essential.
Clearances
In accordance with state regulations, all prospective new employees/contractors must provide originals for a photocopy of their Federal Criminal History Record (DHS FBI Background Check), PA Criminal Background Check, and PA Child Abuse Clearance before commencing the offered position.
